Register a Trip for Someone Else
You can use itinerary forwarding to register with International SOS on behalf of an individual traveler.*
Common users of the itinerary forwarding feature include staff assistants registering trips on behalf of their managers, and Harvard affiliates registering trips on behalf of their spouse or partner accompanying them on their Harvard-related trips.
*If registering two or more travelers on the same trip, use the group travel registration worksheet and upload it through our secure webform.
If your traveler booked their trip outside of a Harvard-preferred travel agency,** you can forward their itinerary confirmation email to International SOS.
Follow these steps to forward an itinerary on behalf of an individual traveler:
- From your Harvard email, forward the itinerary confirmation email that the traveler received from their booking agency (e.g., airline, hotel, travel agency, etc.). The itinerary must be in the body of the email; it cannot be an attachment.
- In the To line, enter the traveler's email address.
- In the Cc line, enter the International SOS email address HarvardTravel-TO@itinerary.internationalsos.com
- Send.
Then, you’ll receive two automated emails from International SOS (mytrips@travelsecurity.com) updating you on the status of the trip registration. The first email will confirm receipt of the travel itinerary. The second email will either confirm that the itinerary has been successfully registered or include instructions for the traveler to manually register via MyTrips. Contact us if you have questions about this process.
If successfully registered, the traveler will receive an "Itinerary & Travel Brief" registration confirmation email from International SOS (online@internationalsos.com), usually within one hour. In addition to being a helpful resource, that email is one way to demonstrate proof of registration for reimbursement.
**If your traveler booked their trip using one of Harvard's preferred travel agencies, their trip details are automatically registered in International SOS MyTrips, so you don't need to forward their itinerary.
Registered traveler get access to country specific advice, security alerts, and more.
After registering with International SOS, travelers are strongly encouraged to register with the embassy of their country of citizenship.
